FlyQuest is currently seeking an Operations Administrator to be based in its West LA office. Primary responsibilities include processing accounts and incoming payments, performing day-to-day financial transactions such as accounts payable and accounts receivable, handling employee payroll and benefits, and assisting in onboarding/offboarding procedures.

RESPONSIBILITIES

  • Pay vendors, resolve purchase orders and invoices, and issue stop-payments or purchase order amendments
  • Maintain records of financial transactions and employee information
  • Disburse petty cash by recording entry and verifying documentation
  • Facilitate payment of invoices due by sending bill reminders and contacting clients
  • Substantiate financial transactions by auditing documents
  • Maintain accounting controls by preparing and recommending policies and procedures
  • Direct internal and external audits to ensure compliance
    Support month-end and year-end close process
  • Develop and document business processes and accounting policies to maintain and strengthen internal controls
  • Identify staff needs and create job descriptions
  • Develop and implement human resources policies
  • Ensure compliance with labor laws and regulations
  • Keep track of office inventory and order supplies as necessary
  • Organize events, schedule meetings, and make travel arrangements
  • Manage the maintenance of office and facility equipment
  • Provide administrative support to other departments or projects as needed
  • Perform other duties as assigned

REQUIREMENTS

  • Bachelor’s Degree in appropriate field of study or proven working experience Operations Administrator, AP/AR Clerk, or similar position
  • Experience with financial statements, general ledger functions, and month-end/year end closing process
  • Hands-on experience with spreadsheets and proprietary software
  • Proficiency in English and in MS Office/Google Suite
  • Aptitude for numbers and quantitative skills, strong attention to detail
